All bookings for safaris, tours, car hire, and flight transfers must be made through our website, email, or authorized agents.
A 30% non-refundable deposit is required to confirm any booking. The deposit secures all ground arrangements, including accommodation, transport, and park entries.
Full payment must be made at least 45 days before the travel date for safari packages and 30 days for car hire services.
Bookings made within 45 days of travel require full payment immediately upon confirmation.
Direct bank transfer to our official company account (details provided on the proforma invoice). All bank charges are to be borne by the client.
Mobile money (M-Pesa Paybill/Till Number) as provided on our official payment channel.
Credit/Debit cards (Visa, MasterCard) via our secure payment gateway.
Cash payment is not accepted. All payments must be traceable to our company accounts for compliance purposes.
Cancellation must be received in writing via email. The effective date of cancellation is the date we receive your written notification. Refunds are calculated based on the total tour cost.

Important Notes: No refunds for no-shows, unused services, or unused portions of a tour. Refunds, where applicable, are processed within 14-21 business days. Any bank or transaction charges incurred during the refund process will be deducted from the refund amount. The initial 30% deposit is non-refundable.
Our car hire service is provided as a professional chauffeured service. All vehicles are operated by our licensed, professional drivers. The client contracts the vehicle and driver for the agreed period and itinerary.
The driver is an employee/agent of Hike 'n' Pic Kenya and is bound by our strict code of conduct regarding safety, speed limits, and professional demeanour. Clients are expected to treat the driver with respect and follow their guidance regarding safety and local regulations.
The client agrees that the vehicle will not be operated by anyone other than the designated company driver. Smoking, drinking alcohol, or reckless behaviour inside the vehicle is strictly prohibited.
Driver: A professional company driver is provided with all hires. Self-drive options are not part of our standard corporate offering.
Insurance: Comprehensive insurance for the vehicle is included. However, the client may be liable for an insurance excess (deductible) in the event of damage caused by negligence or breach of contract (e.g., unauthorized itinerary, client negligence). The excess amount ranges from KES 50,000 to KES 200,000 depending on the vehicle and incident.
Fuel & Mileage: Rates typically include fuel for the agreed itinerary. Unlimited mileage is provided for the duration of the hire. Additional charges may apply for significant itinerary changes not pre-approved.
Driver's Allowance: For multi-day trips outside Nairobi, the client is responsible for the driver's meals and accommodation, or a negotiated nightly allowance.
Accommodation as specified in the final itinerary.
Transportation in our custom safari vehicles with a professional English-speaking guide/driver.
Meals as indicated (B=Breakfast, L=Lunch, D=Dinner).
All applicable park entry fees, reserve fees, and government-mandated conservation fees.
Airport transfers on the first and last day of the scheduled itinerary (if applicable).
Bottled drinking water while in the vehicle on game drives.
International and domestic flights (unless specified and confirmed in the itinerary).
Comprehensive travel insurance (mandatory).
Visa fees, passport, and vaccination costs.
Personal expenses such as laundry, beverages (alcoholic and non-alcoholic), telephone calls, and souvenirs.
Tips and gratuities for guides, drivers, and lodge/camp staff.
Optional activities not included in the itinerary (e.g., hot air balloon safaris, cultural village visits, scuba diving).
Travel Documents: You are solely responsible for ensuring you have a valid passport (minimum 6 months validity beyond your travel dates), all required visas, and any other entry permits for the destinations visited.
Travel Insurance: Comprehensive travel insurance covering medical expenses, emergency evacuation, trip cancellation, and personal belongings is mandatory. Proof of coverage may be requested.
Health: Inform us of any pre-existing medical conditions, allergies, or mobility issues at the time of booking. It is your responsibility to consult your doctor for required vaccinations and necessary medications.
Safety: You agree to follow all safety instructions provided by your guide, driver, or lodge staff. Adventure activities are undertaken at your own risk, and a signed waiver may be required.
Hike 'n' Pic Tours and Safaris Limited shall not be deemed in breach of these terms or otherwise liable to you, by reason of delay in performance or non-performance, of any of our obligations under this contract, to the extent that any such delay or non-performance is due to any circumstances beyond our reasonable control (Force Majeure). This includes, but is not limited to:
Natural disasters (floods, earthquakes, extreme weather).
Acts of God, war, threat of war, civil unrest, riots, or terrorist activities.
Pandemics, epidemics, or health emergencies.
Government travel advisories, border closures, or changes in law.
Flight cancellations or delays by third-party carriers.
In such events, we will make every reasonable effort to offer alternative arrangements. If this is not possible, we will offer a credit for future travel, less any non-recoverable costs from our suppliers.
We are committed to protecting your personal data and comply with the Kenya Data Protection Act, 2019. The information you provide will be used for the purpose of processing your booking, providing travel services, communicating with you about your trip, and for legal compliance. We do not sell or rent your personal information to third parties. By making a booking, you consent to the transfer of your data to our partners (such as lodges and airlines) in other countries for the sole purpose of facilitating your travel arrangements. All content on our website and in our brochures, including but not limited to logos, images, text, videos, and tour descriptions, are the intellectual property of Hike 'n' Pic Tours and Safaris Limited and are protected by copyright laws. Unauthorized use, reproduction, or distribution of this content is strictly prohibited. By traveling with us, you grant us permission to use photographs or videos taken during your tour for our marketing purposes, unless you expressly opt-out in writing.
These Terms and Conditions and any contract between us shall be governed by and construed in accordance with the laws of the Republic of Kenya.
Any disputes arising out of or in connection with this contract shall first be addressed through good-faith negotiation between the parties.
If negotiation fails, we agree to attempt to resolve the dispute through mediation by the Tourism Regulatory Authority (TRA) or a mutually agreed-upon mediator.
Should mediation fail, the courts of Nairobi, Kenya, shall have exclusive jurisdiction to hear and determine any dispute. Our maximum liability to you in any circumstance is strictly limited to the total cost of your tour package with us.
We reserve the right to update or modify these Terms and Conditions at any time without prior notice. Such changes will be effective immediately upon posting on our website. It is your responsibility to review the latest version before making a booking. The terms in effect at the time of your booking confirmation will govern your contract, unless a change is required by law or a regulatory authority.
By submitting a booking request and paying the required deposit, you acknowledge that you, and all members of your party, have read, understood, and irrevocably agree to be bound by these Terms and Conditions. You confirm that you have the authority to accept these terms on behalf of all persons named in the booking.
Declaration: I/We have read and accept the Terms and Conditions of Hike 'n' Pic Tours and Safaris Limited. I/We understand that these terms form the basis of our contractual agreement.
